Our Company name is Southern Maintenance Systems, Inc. We were contracted by Trip- County Hospital, formally Nature Coast Hospital in Williston Florida to do extensive floor work. The orders came from Jerry E. Gillman, CEO of the Hospial for us to strip and wax 38,000.00 sq. ft. of floors. A contract was signed and Southern Maintenance Systems began work on 06/25/10. We were asked to start immediatley due to poor condition of the floors and a pending ACHA inspection. We agreed and our crew began work on a Saturday night we were asked to furnish floor stripper and floor finish because of the urgency, they could not get products from their supplier soon enough. We did purchase the products and billed the Hospital. As we progressed, I received daily calls from the hospital, pushing us to do more floors daily, I finally explained to them that it is normal to take up to two weeks to complete 38000.00 sq. ft of floors. One day our crew came in and we found one area of the hallways we had just finished, ruined from the Hospial Janitors trying to strip out a bathroom and they had tracked floor stripper all over the newly waxed floor. This cost our crew many extra hours, which we did not charge for. The ACHA inspection took place July 6th 2010. As our job came near completion, I was told by Mr. Kent Sloan, the maintenance supervisor that he felt much better about the inspection. As we were one day away from completing the entire job, I was walking through with Mr. Sloan and was told that the floors look very good. As we walked by Jerry Gillman, the CEO, he came out of his office... Mr. Sloan introduced us, Mr. Gillman shook my hand and told me the floor looked great. He thanked me for doing such a good job. He also requested a bid during our conversation on the floors in other nearby buildings owned by the hospital. Our office prepared that proposal for him the same day. As we were on the last day, buffing the entire floor, we were told that the Maintenance Supervisor, Kent Sloan, had been terminated. The next morning, I called the Hospial and had to leave a voice mail. Nobody returned my calls. We instructed our accounting office to send a bill. We have been sending a monthly statement with NO RESPONSE. Our bookkeeper, Cathy left many messages at Nature Coast Hospital with no response. Finally through persistance, Cathy reached Doreen at the Hospital, who is over housekeeping and Supplies. I also believe that she was the person responsible for the floors, attempting to maintain the floors with her small Janitorial company. Doreen told our bookkeepr that she was unhappy with our floos and was not going to pay the bill. Note: This was three months after completion of the job and the first we had heard of any disatisfaction. I contacted Mr. Sloan at home. He told me how sorry he was that we had not been paid and that we should have been paid. He gave me the Cheif Financial Officers name and told me to contact Jerry Gillman, the CEO. Mr. Sloan also mentioned that he had to stay out of this, because he felt he would be rehired for another department at the hospital. The next day we sent Jerry Gillman a certified letter requesting payment, with no response back. Two more months went by, we heard nothing. My wife and I called Bobbie, in finance, she said that she would try to get us paid. Two weeks went by, still nothing. Sherry, with Southern Maintenance emailed Bobby in accounts payable at the hospital to see when we could expect payment. Bobbie said that the CEO, Jerry Gillman was now saying that he was unhappy with the floors and we needed to call him. Our company attempted to call numerous times, he never returned our calls. So we emailed him asking him to pay the bill. Strangley we got an email from Bobbie, mentioning a payment plan, we replied that the contract was 30 days net. We also told Bobbie that if they were unhappy with the service that we should have been notified immediatley, not three months later. Our position is this... The floors look great, we have pictures to prove it. We also have an ACHA report dated July 6th 2010 in which Nature Coast Hospital was cited for 132 deficianices, non of which were floors...proving that the floors passed the ACHA inspection. Southern Maitenance Systems Inc. has been in business 31 years. We have been working for Marion County Schools, Dixie County Schools, Some Marion County Hospitals, The Crystal River Nuclear Plant, the City of Ocala and many more respected angencies. We have never in 31 years of Business had to seek help from the courts for payment for our services and products as we are in the process of doing now.
